The WhatsApp-First Follow-Up: Lead Etiquette in the UAE

Reply inside five minutes, get marketing templates approved before day seven, cap the sequence at six touches: a WhatsApp follow-up discipline for Abu Dhabi brokers.

A buyer who fills in a portal form for a two-bedroom on Al Reem Island has almost certainly sent the same enquiry to several brokers in the same minute. A non-exclusive Madhmoun listing can legitimately be advertised by more than one ADREC-licensed broker, so the enquiry is not yours until you have answered it.

Hit five minutes with a rota, not with heroics

Speed is a staffing decision. The Lead Response Management study led by Dr James Oldroyd found the odds of qualifying an inbound lead fall by approximately twenty-one times when first contact slips from five minutes to thirty. It was a US web-lead study, not a property one, but the mechanism carries: the buyer is still on the portal, still comparing.

Run a two-person shift across the working day, one primary and one backup, and route new enquiries to whoever is on the clock rather than to whoever owns the listing. Ownership is reassigned after the reply goes out, never before it. Al Reem clears roughly 4,668 recorded sales year-to-date on indicative ADREC figures and Yas Island approximately 3,221, so a desk covering both fields enquiries across the whole day, and the standard collapses the moment it depends on one person happening to be free.

An out-of-hours auto-acknowledgement buys goodwill but does not stop the clock. The twenty-four-hour window runs from the buyer's message, not your reply, so an enquiry landing at 23:40 leaves you until roughly 23:40 the next day. Make it carry the unit reference and a named time commitment, not a greeting.

The WhatsApp mechanic that decides what you can send

On the WhatsApp Business Platform, which is what a CRM integration plugs into, an inbound message opens a customer service window of roughly twenty-four hours. Inside it you can reply without a pre-approved template. Outside it you cannot send free-form text at all: you need a template Meta approved in advance, and templates are categorised. A follow-up promoting a listing or a market update is a marketing-category template, which is precisely what a recorded opt-in exists to justify.

So touches one to three sit inside the window and can be written on the day, while touches four, five and six must already exist as approved templates before the lead arrives. Submit them in your first week, not on day seven with a lead going cold. On the free WhatsApp Business app the template gate does not apply to one-to-one replies, but a broadcast list reaches only people who have saved your number, which a portal lead has not.

Anything promotional after the buyer's own enquiry needs a recorded opt-in, and a defensible record has four fields: the channel the lead arrived on, the exact opt-in wording shown, the timestamp, and the categories agreed. The TDRA policy on unsolicited electronic communications treats marketing sent without consent as spam, and the UAE telemarketing regime under Cabinet Decision No. 56 of 2024 sets a restrictive tone for marketing contact, including daytime-only calling hours and a bar on pressing someone who has refused. Where the record lives matters more than what it says. Put the four fields on the CRM lead record, populated from the portal lead payload at creation rather than typed in later by whoever remembers, and name one person who owns the field. A TDRA or ADREC complaint arrives months later, and the only useful answer is a record you can pull in a minute. What the first message must contain

Give them one number they can check. Here is the whole message, for an enquiry on a two-bedroom resale on Al Reem asking 1,395 AED per square foot.

[Name], this is Sara Nasser at Meridian Properties, ADREC licensed. Re the 2-bed at [tower] on Al Reem, Madhmoun permit [ref]: it is asking 1,395 AED per sqft. Indicative ADREC medians on Reem run around 1,502 primary and 1,090 secondary, so it is priced as a primary unit, not a resale. Are you viewing this weekend or next? Reply STOP to opt out.

Sixty-three words: a person, a firm, a licence, a permit, a price set between two registry medians the buyer can check himself, one closed question, and the opt-out. Now the same message as most brokers send it.

Hi, thank you for your interest in our property. It is still available and it is a great opportunity in one of Abu Dhabi's most sought-after locations. When are you free for a viewing? Please send me your requirements and budget and I will share the best options.

That one loses because every other broker on the listing can send it word for word: no unit, no permit, no number, no sender, and it asks the buyer to qualify himself. A six-touch cadence that stays reachable

Three rules keep all six touches reachable. Any reply takes the lead out of the cadence. A refusal, or STOP, archives it permanently on every list you hold. Two consecutive read-and-ignored messages is the only early kill; anything else, including delivered-but-unread, moves on. Touch five going unanswered is not a reason to stop, only to go quiet for five weeks and send touch six once. Those archive rules are commercial, not merely polite: WhatsApp scores business numbers on a quality rating, and enough blocks or spam reports push a number into a restricted state that throttles every other conversation on the book.

Run premium districts on a slower grid

Use two grids, and one rule for which a lead lands in: if the district's indicative median is above roughly 2,000 AED per square foot, or the ticket is above roughly AED 5m, run the slow grid. Everything else runs the grid above.

The slow grid keeps the same six touches and the same exit rules and changes only the days: touch 1 under five minutes, then day 3, day 10, day 30, day 75 and day 120. Fahid Island shows an indicative median around 3,699 AED per square foot on roughly 456 recorded sales, and Al Saadiyat Island around 2,249 on approximately 1,450. Against Al Reem's flow that is a fraction of the volume, so this buyer is not being outbid on Tuesday afternoon and a day-two call reads as pressure. Lead with floor plates and handover terms, and accept that touch six lands four months out.

Mainland end-user districts keep the fast timing and change the content. Khalifa City at roughly 1,153 and Al Reef at approximately 828 AED per square foot attract families weighing schools, commute and service charges, so quoting capital appreciation answers a question nobody asked.

The send window and the language of first contact

Schedule against the working week. The UAE private-sector week runs Monday to Friday, Friday is a short day across much of the market, and the hours the telemarketing regime applies to calls are daytime hours. So: no template sends before 09:00 or after 18:00, none from late Friday morning onwards, none on Saturday. Push a day-7 or day-21 template that lands in one of those slots to the next working morning; two days of delay cost nothing, and a message that reads as intrusive costs you the number.

Then mirror the language of the enquiry. Reply in Arabic to an Arabic enquiry and in English to an English one, and do not switch to Arabic to seem local when the buyer wrote to you in English. Where the portal gives you a name and a number but no message text, send message one in English with a single line offering Arabic at the end of it, never as a second message. Use the family name with an honorific first and let the buyer de-escalate: overseas investors almost always will, Gulf-national buyers frequently will not.

What to do on Monday

Build the rota, submit the three marketing templates for approval, add the four consent fields to the CRM lead record, and write both grids into the sequence rules so the exits are enforced by the system rather than by a broker's patience. The number you paste into message one is the number you will be held to, so pull it for the specific tower and transaction type on the morning you send: a Reem primary median of roughly 1,502 AED per square foot is an indicative registry figure and says nothing about the floor, the view or the service charge on the unit in front of the buyer.
