A useful purchase file answers four separate questions: who is acting, what property or right is involved, how the purchase is funded and what the responsible parties require for completion. A generic list cannot determine the required documents for every buyer.

Start with a written request, not a copied checklist
Ask the coordinating professional to identify the transaction, applicable jurisdiction and official service being used. Request the current document list with its source and date. Separate documents needed for an initial enquiry from those needed for a final decision or registration.
Do not assume an individual buyer, company and representative use the same file. Where a company or representative will act, have the required authority and signature arrangements confirmed before relying on them. Overseas documents may need additional processing; ask for the exact requirements rather than prescribing a universal translation or certification route.
Give every document a purpose and owner
Use this original register alongside, not instead of, the official requirements.

Keep originals, submitted copies and later revisions distinguishable. A newer attachment with the same filename can otherwise be mistaken for a document already checked.
Authenticate through the appropriate official route

Authenticity and completeness are different questions. Even a genuine document should be matched to the unit, parties and purpose of the proposed transaction. Ask a qualified reviewer which additional records or checks are needed rather than treating one result as an all clear.

Keep financial evidence private
Send identity and banking records only through the verified channel requested by the receiving organisation. Confirm why each record is needed, who may access it and whether an approved summary is sufficient. Do not place a full application pack in a publicly accessible folder.
A calculator screenshot is not a lender decision. Keep a preliminary letter, its conditions and a final offer distinct. Record what would make each document expire or require reassessment.
Close the file against evidence
Before treating the file as complete, reconcile names, unit identifiers and document versions. Record missing items explicitly. Do not replace an absent document with a broker's verbal assurance that it is routine.
After the relevant steps, retain the final documents, receipts and official confirmations through a secure process appropriate to their sensitivity. Ask your adviser which records must be kept and for how long; this article does not prescribe a retention rule.
